The Parasites of the Tour Industry

One reason it’s so hard for small companies to get ahead.

The other day, I got another call from XYZ Company. That’s not their real name, of course, but it’ll do for this article.

XYZ has been calling me occasionally for the past four years. It’s a tour packaging company based in the eastern United States. But it doesn’t sell itself as a packager. Instead, its ads lead clients to think that it’s a huge tour company with offices all over the country.

How does it do this? By advertising the services of small companies like mine, Flying M Air, as its own.

Now I don’t want to say that they are deliberately misleading the public. I’m sure the ads have fine print somewhere that makes it clear that they are not providing the services. After all, I’m sure they don’t want any liability if something should go wrong. And I’m pretty sure that if a client asked straight out who would be providing the services, they’d admit that they used subcontractors. But I’m equally sure that the client would have a difficult time finding out exactly who was providing the services until they had paid for them.

What They Do

Here’s how it works. XYZ calls me to ask whether I can perform a specific tour or other helicopter charter service. When I say that I can, they ask about my rates. I give them an hourly rate. They then go into some detail on exactly what they’re looking for and ask whether I can do it.

Off-Airport Landing

Mine sites can be tight to land in. I’d be hard-pressed to fit my helicopter in here.

In some (few) cases, the job is simple: a helicopter flight from point A to point B in my area. But in many cases, the job is more complex. A recent job query, for example, would require me to fly to a location about 100 miles from my base and spend three days there. While there, I’d take two passengers over some nearby mines they apparently own, landing if requested so they can get out and do mining-related stuff on the ground. Then, if they need help, I’d go back and fetch two companions and bring them to the site. I’d then wait around for them to be ready to move on and shuffle them to the next site.

As you might imagine, this isn’t as simple as quoting an hourly rate. I have to get compensated for the trip from my base to the client location and back and the cost of spending the night away from home. I also need to get a minimum number of hours of flight time each day to make it worth keeping my helicopter unavailable for other work.

I get calls like this from people quite often. Not exactly this scenario, of course, but other work that’s equally weird and/or time-consuming. In so many cases, the callers clearly have no idea about the cost of using a helicopter for their task. They figure they’ll need about three hops from point to point and that surely can’t take more than an hour or two. They don’t see the ferry time (three hours, in this case), the overnight fees (at least $250 per night), or the need for daily minimums. They think I’m going to provide them with three days of service, putting my aircraft at their whim, for the cost of two hours of flight time. As you can imagine, I don’t do much of this work.

In this particular case, it took two phone calls (so far) to discuss the job and an argument about how long it would take me to fly from my base to the client’s. I’ve underestimated ferry flight time enough times to know that it’s better to overestimate and be able to charge the client less than he expects. The project is still in limbo, but I don’t expect it to happen. In most cases, a call from XYZ means nothing more than time wasted on the phone.

Dealing with a Middleman

There are two differences between dealing directly with a client looking for a quote and dealing with the telephone jockeys at a middleman company like XYZ:

  • The client knows exactly what he wants. He tells me, I ask questions, he answers them. Within a few minutes on one phone call we zero in on a complete description of the job and a pretty solid estimate of costs. This results in sticker shock for the caller, an agreement that we can’t work together, or a tentative reservation. The telephone jockeys for companies like XYZ, on the other hand, have very little idea of what the client wants or needs or the kinds of services a helicopter operator can provide. After all, the last call they took was for a boat ride around Manhattan or a train ride to Denali or a bus tour to the Grand Canyon. They get just the basic client needs, search their database for possible providers in an area, and call a company like mine. They don’t know anything about my aircraft or its capabilities. Not only do they not know answers to my questions — how much flight time per day? do they own the land I have to land on? how much does each passenger weigh? are they carrying equipment? is there any flying time at night? are the mines anywhere near the restricted areas in that part of the state? — but they don’t know what questions to ask me on behalf of the client. They are middlemen. As a result, most queries take more than one phone call.
  • Companies like XYZ need to make a profit. Rather than be satisfied with a commission that I’m willing to pay, they jack up my rates and charge that to the client. How much do they add? In the one instance I was able to discover the rate they charged a client, it was 30%. So my clients are paying a 30% premium for my services when they book with a company that has no clue about the kind of services I offer. As a result, companies like XYZ often price me out of the market. I don’t get the work because I cost too much. But those aren’t my prices. They’re they premium prices charged by XYZ. What pisses me off the most is that my margins are so thin that XYZ would likely make more money on a job than I would — and I’m the one doing the work.

In the past four years, I’ve been contacted about a dozen times by XYZ. Occasionally, I get a telephone jockey who seems to know what he’s doing. But in most cases, the guy calling is pretty clueless and I have to list the questions I need answered to provide a quote. I almost got work with XYZ twice.

They Promise Services I Can’t Deliver

Once, a UK-based television company wanted to get some aerial footage of Meteor Crater in northern Arizona. What a lot of people don’t know is that Meteor Crater is privately owned. The whole damn thing is on someone’s property. They’ve put in a very nice museum and walkways to overlook the crater. It’s a cool place to visit and I highly recommend it, especially if you have kids interested in space.

The best views, however, are from the air. Television people know this. They wanted to hire me to take them around the crater and get footage. At least that’s what XYZ told me.

It took three or four phone calls to get the information the client and I needed to make sure we were on the same page. We agreed on rates and times and even a date.

Then I got a call from the UK company. They wanted to talk to me about landing in the Crater. Whoa. I can’t do that. I’ve talked to the Meteor Crater folks and they won’t even let me land at their helipad, let alone inside their tourist attraction. I can’t get the amount of insurance they need (which is an unreasonable amount, but we won’t go there). Turns out that XYZ had told them I could land anywhere. Reality bites us in the ass.

They’re Too Anxious to Sell, Not Interested in Providing Service

Another time, a Phoenix-based company needed to do an aerial survey west of Page, AZ. I know that area very well; in fact, I’d been flying over the same spot less than a week before the call came and was excited about the possibility of flying up there again so soon.

The XYZ guy had a decent handle on the job and we were able to make arrangements with only three phone calls. Of course, one of the last phone calls concerned the date — XYZ had been so concerned about my ability to get the job done and the rate I’d charge that they neglected to tell me the date of the job. I was already booked for a flight that day. The client scrambled and offered a different date that worked for me. We booked the flight.

XYZ requires the client to pay, in full, at booking. The client did this, paying for a total of 5 or 6 hours of flight time. At XYZ’s rate for my services — 30% more than I charge. I didn’t see a penny of this money, but was assured that I’d be paid before the flight.

The client called me. They were having trouble getting landing permission from BLM, which they’d need for me to land. They were good people and did not expect me to land without permission. The flight would be delayed, possibly beyond their window of opportunity.

I didn’t hear anything more. A day before the flight I called the client to see what was going on. She was baffled. “Didn’t they call you? We had to cancel.”

They hadn’t called me.

“We couldn’t get our money back,” she added.

This bugged me. Someone had paid for my services and wasn’t getting what they paid for. I told her I’d try to get her a refund. I called XYZ and spoke to the guy we’d been dealing with. He told me, in no uncertain terms, that their payment and refund policy was none of my concern. I hadn’t provided any services, they weren’t going to pay me. (I would have turned the money over to the client.) If the client rescheduled — and they had a year to do so — they might call me back.

Competing with Myself

One of the things that annoys me about XYZ is its ability to be at the top of search results for any Google search where my company might appear. They do this with AdWords — paying Google to put them at the top of search results. It costs a fortune — I know because I used to use AdWords. I threw a bunch of money at Google for about six months and got absolutely no business from it.

XYZ, however, has 30% net on any booking and can throw that at Google or anyone else it needs to. So it comes to the top of the search results. People click that “sponsored ad” and two things happen:

  • The folks at Google hear a little ca-ching!
  • The person who clicked the ad sets himself up to deal with someone who knows little about the service he needs, pay a 30% premium on any tour he books, and lose the ability to get a refund if the project gets cancelled.

And when the price is too high for the market, I lose the business I might have gotten if they clicked the link to my site instead.

Parasites of the Tour Industry?

Parasite is a strong term and likely not as accurate as it could be. Companies like XYZ might believe they’ve got more of a symbiotic relationship with service providers like me. They might think that their advertising and ability to take calls in their call centers gets me more business.

But it doesn’t. It’s been four years since that first call and I have yet to get any work from them. Instead, they’re inaccurately representing my company and its rates to potential clients. I’m losing business because of them.

You might ask, then why not tell them to take a hike and stop calling?

Obviously, I can’t do that. After all, there is an off chance that they might actually get me some business. And in this market, it’s better to let a parasite suck some of your blood away than be blacklisted by a company that could throw you the few crumbs you need to stay alive.

Deal Direct, Not with the Middleman

The more important question is, why would people seeking tour or charter services be lured in to booking with a parasite company like XYZ?

I suspect there are multiple reasons, but the top one would be laziness convenience.

Consider the way you search for goods and services. You fire up your Web browser and enter a search for the service you need. A first page of search results appears. You see XYZ company right near the top. They’re also one of the “sponsored links.” You figure they must be big and have great service. You click the link. You make contact. Sure, they tell you, they can do that. Just give us a little more info so we can get you a quote.

Pretty easy for you, huh? One search, one click, one e-mail form or phone call. You don’t have to talk to more than one person. (Well, maybe you have to talk to him a few times while he gets all the information he needs.) You’re getting real service from a big company with locations across the country, right?

Wrong. You’re getting a telephone jockey who barely knows what you’re talking about. He’s picking up the phone and making some calls for you. He’s finding the deal that he thinks might meet your needs. He’s getting ready to lock you in on a no-cancel, no refund deal.

And he’s charging you a 30% premium for the work you could have done yourself, had you just looked past the first three search results.

You want to help small companies while helping yourself? Deal directly with the service provider and tell those parsites to take a hike. You’ll get the same — or better — service for a lot less money.

Why I Just Signed the Worst Publishing Contract I Ever Got

And why I probably won’t regret it.

Moments ago, I put my signature on a contract to create a series of videos based on one of my books. Details beyond that are neither prudent nor required for this blog post. Let’s just say that the book is one of my better-selling efforts and the publisher is one that I’ve enjoyed a good relationship with for a while.

The contract, however, sucked.

My main concerns with the contract fall into two areas:

  • The language of the contract makes it nearly impossible to understand without drawing a flowchart or having a lawyer at my elbow to translate the legalese. We’ve come a long way since 1995, when the owner/publisher of the company signed the contracts and all checks and I, the author, was referred to throughout as “Maria.” Instead, it’s “we” and “you” and the single-spaced monstrosity stretches for six full pages, with numerous cross-references to other paragraphs. Whoever wrote this thing could easily get work writing government documents in legalese, such as FARs for the FAA or the latest version of the health care bill. It’s a shame they’re wasting their talents on publishing contracts, where contract recipients actually have a chance of understanding what they’ve written. They could be confusing a much larger audience.
  • The rights clause(s) in the contract require me to give away all rights to the work. All of them. For every possible means of publication and market, existing now or in the future. Forever and ever. It even says that if they need me to sign some other document to give them rights, I’m required to sign it. (Have you ever heard of such a thing?) I get it. I’m writing something for them and I should never expect to have any right in it ever again.

You might be asking why I would sign such a thing. After all, why should I give away all rights in a work I create? After 20 years in the business of writing technical books, don’t I have enough of a track record or reputation or following or whatever to successfully push back and keep some of those rights?

My response: Why would I want to?

Let’s face it — what is the life of a computer book these days? I feel fortunate when I see sales on a book that’s a year old. What good is having the rights revert back to me on a book that’s too stale to sell? Especially when I’ve already written and published the revision?

And do I really think I can sell something better than the marketing machine that my publisher controls? While I don’t think they do as well as they could, they certainly do better than I could.

But the real reason I signed without dwelling on it was the money. There. I said it.

The contract did not offer an advance against royalties. It offered a grant to compensate me for production expenses. The difference between the two is huge:

  • An advance against royalties is applied against royalties as they’re earned. So if you earn $8K in royalties in a quarter and they paid you $5K in advances, your first royalty check would be for just $3K.
  • A grant isn’t applied against any royalties. That means you start earning money on the very first unit sold. Using the same example, if you earned $8K in royalties in a quarter and they paid you a $5K grant, your first royalty check would be for $8K.

The royalty rates in this particular contract weren’t the greatest, but they weren’t bad. If this works out well and they want me to do another one, I think I can push a bit harder for better royalties or perhaps a larger grant. But not this first time.

You see, this is the first project of this kind at this particular publisher. We’re all sailing uncharted waters here.

And that’s probably the third reason I signed. I wanted an opportunity to try this.

Publishing is changing.

I remember the day about 10 years ago when I received six book contracts in the mail. All on the same day. The total advances for those books exceeded what a lot of people I knew earned in a year. And that year, I wrote ten books.

Things are different today. Titles that I thought would last forever — Microsoft Word for Windows Visual QuickStart Guide comes to mind — have died. Too much competition, not enough novice users needing a book, too much online reference material. The Internet’s free access to information is cutting into the royalties of the writers who used to get paid to write the same material. Paper and shipping is expensive. Ebooks have a lower perceived value than their printed counterparts. Brick and mortar bookstores have limited shelf space and a fading customer base. All this spells hard times for the folks who do the kind of writing I do: computer how-to books for the beginning to intermediate user.

When opportunity knocks, I answer the door. If the deal looks good, I shake hands, accept the offered check, and get to work. Even if the deal isn’t as good as I’d like it to be, I’m more likely to take it than I was 10 years ago.

After all, who knows when I’ll hear another knock on my door?

Creating a Photo Calendar with InDesign

An overview of how I did it and the results.

This year, I decided that I needed an affordable yet memorable holiday gift to send out to all my customers and the folks I do business with. I wanted this gift to be an in-your-face-all-year-long item. That means it had to be something the recipients would want to keep and refer to.

A calendar seemed to fit the bill.

Now every year, I get sample calendars with my company name on it from various printers who print promotional items. They’re usually pretty boring; certainly not the kind of calendar you’d want to use all year long. Clearly, I had to do better than that.

The solution was a custom calendar using the photos I’ve taken over the years to show off the places I fly to and my helicopter. The challenge was to make a professional-looking, attractive calendar that was cost-effective to print.

iPhoto’s calendar printing option was the obvious choice for creating the calendar. It offers several different formats, many of which would meet my needs. What did not meet my needs, however, was the price: $19.99 per calendar. Since I figured I’d need at least 50 of them, that was far more than I wanted to spend.

My husband suggested MagCloud, which I’ve been using for other print-on-demand needs. At first, I didn’t think it would work out. After all, MagCloud produces stapled magazines sized just under 8-1/2 x 11. But then I held a sheet of paper up to the Robinson Helicopter calendar on my wall. And guess what? It was the same size.

So I decided to go with MagCloud for printing.

At that point, it looked as if I’d be creating a 28-page calendar from scratch. Not something I looked forward to. But I did a Google search for 2010 InDesign Calendar Template, which directed me to the 2010 InDesign Calendar Template by Juliana Halvorson on the Adobe Web site.

I downloaded it and discovered that it was almost what I needed. The template assumed a landscape orientation. I wasn’t sure if MagCloud would accept the document created that way. So I modified the template to make it portrait orientation and rotated all the calendar grids. A few adjustments to the margins and bleeds (which I initially got wrong) and it was a good starting point for my own project.

First up was reviewing the holidays. Juliana had included several extra religious and “Hallmark” holidays that just weren’t appropriate for a general use calendar. I removed them. I also changed the wording of some holidays — for example, changing Thanksgiving Day to just plain Thanksgiving.

Then I needed to redo the thumbnail calendars for the previous and next month that appear on each calendar page. The type was just too small. That turned out to be a time-consuming chore, as I had to basically reformat each little calendar individually. But it was worth the effort; the numbers are now far more readable.

Then the big task: finding the images I needed in my calendar — 12 full-page images and about 16 smaller ones — cropping them for the right proportions, saving them as TIFFs, and dragging them into my working file. It took me two full days to get the job done. In the end, it was very tedious and I just couldn’t wait to finish it.

Since the calendar’s pages had to be in multiples of 4, I had to stretch my 26 page document to 28 pages. That also meant filling in 2 more pages with something. I decided to put information about Flying M Air’s services, along with thumbnail images from the big pictures.

Once completed, I created the PDF MagCloud needed to print my calendar. The first upload (which took 4 tries on my miserably slow Internet connection here in Wickenburg) resulted in an error. I’d gotten the bleed measurements wrong. I fixed them and (fortunately) did not need to adjust the layout. Two hours later, after about 8 upload attempts, the file was online. The preview looked good.

I ordered the free proof and am now waiting for it to arrive. If it passes muster — and I’m about 95% sure it will — I’ll order about 50 copies to give as holiday gifts to clients and friends.

In the meantime, I’ve “published” the calendar so others can preview and (hopefully) buy their own copies. There is one caveat, however. Because MagCloud publishes magazines and not calendars, if you buy from MagCloud, you’ll have to punch your own hole in the top of the calendar.

Helicopter Career Advice Sought…and Provided

I answer another request for “my insights” submitted via e-mail.

This morning, I got another e-mail message today from someone interested in starting a career as a helicopter pilot. Here’s the content, with identifying information XXXed out:

I ran across an article about you and Flying M Air in this years Az. Highways and thought you might be able to offer some advice when you had some free time (though reading about all of what you do on the job, I’m thinking you don’t have much free time).

I am currently a director for a large multi-national XXX company in XXX doing global IT security operations, as I have done for other fortune 500 companies for the past 8+ years. I foresee another 2-4 years in the industry as I try and setup my exit strategy from corporate America. The deeper I get into the business side of things (finishing my MBA at XXX in May) and coupled with what I already know from doing IT security for large corps, the less I like the idea of spending the next 20 years behind a desk working for a corporation.

I’ve always loved helicopters as far back as I can remember. Tried to get a guaranteed shot at them in the Army but they wanted me to be in the infantry first so I entered the Air Force as an EOD tech (not helo’s but still fun). I did get to partake in several rides in Blackhawks getting air dropped into zones for work and training. Had a blast, even in the back of helo.

You seem to have escaped the corporate trap and entered the world of helicopters so I am hoping you can share some tips/pointers on how to enter the field. My current research and plan has me thinking I go to XXX helicopters to start training in 2010/1 and start to work my way up to get commercial to instructor tickets while working corporate job. Then I am not sure how to make the break from corporate America into aviation. I am really interested in medevac jobs as well as other jobs around XXX (versus long range/extended travel as I have a family based in XXX).

So in an attempt to wrap up what has become a long winded email, any insights, pointers, advice you might be able to share when/if you have some free cycles would be greatly appreciated.

First, I want to say that it was a pleasure to receive an e-mail like this from someone who was actually literate and could explain himself clearly. I suspect this guy can succeed at whatever he puts his mind to.

In formulating a response to him, I realized that although this blog has lots of posts containing my thoughts and opinions and experience on the topic, there isn’t one post that links to all of it. So I composed a response to him that collected the links and offered some additional words of advice. I’m repeating that response here for the benefit of folks looking for the same kind of information. In the future, I’ll simply link to this.

I need to clarify something: I didn’t escape corporate America for a job as a pilot. I escaped for a freelance career as a writer. That’s where I make my money. If I had to depend on flying income and my flying business to cover all helicopter costs AND pay me enough to cover my mortgage and other living expenses, I’d be broke.

My biggest piece of advice is to NOT sign up for any “program” that takes you through the process of getting your ratings if that program requires an up-front commitment. You’ll understand why if you read the “Broken Promises” link above.

Don’t be lured by promises of a high-paying job as a helicopter pilot. It will likely take at least 5-10 years to quality for such a job and right now, the helicopter pilot job market is absolutely overflowing with low-time pilots competing for the entry level jobs needed to move forward in a career. If an employer has a choice between a 25-year-old career pilot and a 40-year-old on his second career, who do you think he’ll choose? Hint: inexperienced kids are willing to take all kinds of crap from employers because they simply don’t know any better.

Be a pilot because you love to fly — and be prepared to sink a LOT of money into flying before you see any money in return.

On that dismal note, good luck.

One more word of advice: if you want to be a helicopter pilot, subscribe to publications about helicopters, such as Vertical (excellent), Rotor & Wing (so-so but free), and HelNews (Australia-based but excellent). If you’re going to participate in helicopter forums, take every comment with a grain of salt and try to block out the comments by the trolls. I don’t think forums are worth the time, but I have limited time and patience; if you have more, give them a try. Immerse yourself in the helicopter pilot/flying community before making a career decision and spending a lot of money on training.

Reuse, Recycle

And I’m not talking trash.

In this day of Internet publishing, quality content is in very high demand. Freelance writers and bloggers who can create good content can often sell it to new markets. But what’s better than writing for hire is republishing the work you have all rights to on sites looking for inexpensive content.

Recently, I was approached by a publisher who was interested in having me write for their online magazine. While many publishers these days try to get something for nothing from writers, this publisher was willing to pay. And when I offered them a choice of existing content refreshed for publication and new content at twice the price, they went for the existing content.

This is great for me. I’ve been blogging for more than six years and have over 1,900 posts on a variety of topics. One topic — “adventure flying” — has interested the publisher quite a bit. They’re paying me a reasonable amount of money for each post I brush the dust off and send to them for republication. I keep copyright; they get one-time publication rights.

So I’ve gone back to the beginning of this blog and have been pulling out old posts to polish up and send out. I call this recycling and I don’t see anything wrong with it at all. After all, I’m not trying to pass it off as new material. And I can even leave it on my blog.

Today, I spent about 45 minutes on a lounge chair with my laptop next to my mom’s pool and earned an easy $300.

I guess the point I’m trying to get across here is that if you’re a writer with some existing content that you own all rights to, you may be able to find a paying market for that material. The Internet is a big place and publishing on it is cheap. With publishers looking for quality content, why not reuse and recycle some of that old material — and make a few bucks in the process?
